Meeting minutes

A transcript becomes minutes that one or two named reviewers approve and confirm.

A transcript, with an agenda if you have one, becomes points with summaries, decisions and actions — each backed by exact quotes. One or two named reviewers approve the points and then confirm the whole package. Only then do the minutes and their decisions become part of the workspace’s memory. Everyday notes never go through this.

Step by step

  1. Create the meeting. In the console under Meetings, or by asking your assistant: a title, a date and one or two reviewers from the workspace.
  2. Hand over the transcript. Attach it in Claude or ChatGPT and say “Turn this transcript into minutes for meeting <id>.” Every quote is checked word for word; one that doesn’t match rejects the proposal. The transcript is used for that check and is not stored.
  3. Review. Read the quotes, correct what is wrong (each correction is a new version) and fill in any decision-maker the transcript didn’t name. Approve one point at a time, or several after a preview of exactly which versions you are approving.
  4. Confirm. Each reviewer confirms the whole package once. With two reviewers it reads “1 of 2” until both have.
  5. Use it. The minutes are found by search, labelled as confirmed. Decisions appear in the decision log. Download the minutes as a PDF from the meeting page.

What always holds

  • Two reviewers means two people: both approve every point and both confirm.
  • Being an owner or admin does not make you a reviewer.
  • An approval covers the exact version you saw. Editing a point asks for its approval again; other points keep theirs.
  • Nobody is assumed to be the decision-maker. A decision with no named decider cannot be confirmed until someone fills it in.
  • Withdrawing an approval marks the minutes “under reconsideration”. It does not revoke a decision: that still applies until confirmed again or replaced.
  • After confirmation, a correction becomes a new version. The confirmed minutes stay in force until the new version is confirmed; then the old ones point to the new.
  • An assistant can propose, never approve. Approving and confirming happen in the console, signed in as the reviewer.
